How to Order Solar Light Samples from a Chinese Factory (and What to Test Before Scaling)

Ordering a sample is the cheapest mistake insurance you will ever buy. A few hundred dollars and one shipping cycle tell you more about a supplier than three weeks of email exchanges: whether the lumen output on the datasheet is real, whether the battery runs the hours promised, and whether the housing survives a wet night. This guide walks through the full sample cycle for solar street lights ordered from Chinese factories, from the first request to the tests that decide whether you scale the order.

Why Order Samples at All

B2B buyers sometimes skip sampling to save two or three weeks. That is usually the wrong trade. A sample order surfaces problems while they are still cheap: wrong LED bin, undersized panel, loose mounting brackets, packing that fails in transit. After a 200-unit container leaves the factory, every one of those issues becomes a claim instead of a correction.

Sampling also tests the supplier, not just the product. How accurately the factory answers technical questions, how honestly it reports a delay, and how the unit is packed all predict what volume production will look like.

Step 1: Write a Sample Request That Gets an Accurate Quote

A vague request (“send me your best solar street light”) gets you the model the factory most wants to clear. A specific request gets a quotation you can actually compare against other suppliers. Include:

  • Application and mounting height (for example, a 6 m pole in a village road or an 8 m pole in a parking area).
  • Required nightly runtime and how many overcast nights the battery should cover.
  • Target brightness class if known, or the lighting standard you are designing to.
  • Preference between all-in-one and split type, if you already have one.
  • OEM branding requirements: logo printing, color of housing, custom packaging, manual language.
  • Your shipping preference (sea freight, airport of destination) so the quote includes freight terms.

With that information, a factory can point you to the right model and quote the sample cost, the freight cost, and a production lead time for the follow-on order in one reply. At Qichenshop, standard models are typically ready in 15 days and customized configurations in 15 to 25 days, and quotations are valid for 30 days.

Step 2: Understand Sample Cost and MOQ Policy

Sample pricing differs from volume pricing, and policies vary by factory. Ours is published so you can plan:

Item OEM ODM
Sample fee USD 50 USD 300
Freight Freight collect Freight collect
Refund Refundable against a first order of USD 1,000 or more Refundable against a first order of USD 1,000 or more
Volume MOQ From 50 units From 50 units

Freight collect means you or your forwarder pays the carrier directly, so the sample fee itself stays small. If you want the full picture of how OEM and ODM differ beyond sampling, our comparison of OEM vs ODM for solar and LED lighting covers branding, tooling and lead times in detail.

Step 3: What Happens Between Payment and Delivery

A professional factory treats your sample like a mini production run: parts reserved from the same production line as future volume orders, a burn-in test before packing, and photos or a short video of the unit powered on before it ships. Ask the supplier to confirm what checks were performed; the answer tells you how seriously they take quality generally.

Typical sample lead time is shorter than volume production, often within one week for a standard configuration, plus transit time by sea or air. Confirm the packing method: a sample should ship in a foam-lined carton, not just a poly bag, or it may arrive damaged and tell you nothing about the product.

Step 4: The Four Tests That Matter Before Scaling

When the sample arrives, resist the temptation to judge it by looks alone. Four tests cover most of what goes wrong in the field. None of them needs a laboratory; a handheld lux meter, a timer and a hose are enough.

Test 1: Real Light Output

Turn the lamp on at full output and measure illuminance directly under the fixture with a lux meter, at the mounting height you actually plan to use. Compare the measured lux with what the supplier’s datasheet or lighting simulation predicts for that height. No fixture hits its bare-lumen rating perfectly once optics and temperature are involved, but if the measured value is far below the documented one, the datasheet is inflated and every spacing calculation built on it will fail.

Test 2: Nightly Runtime and Autonomy

Let the unit run through full discharge cycles rather than judging one evening. Note when the light turns on and off across several consecutive nights, including a day with heavy cloud. A well-configured street light should hold its promised runtime through the dimming schedule, not just on day one. If runtime collapses after two cloudy days, the battery capacity or the low-voltage protection settings are not matched to your project.

Test 3: Water Ingress

Hose the housing down with the lamp running, paying attention to the seam around the LED lens, the solar panel edge and any cable glands. An IP65-rated fixture is built to keep water jets out, which covers rain in most climates. After the spray, open the battery or driver compartment if the design allows and check for condensation. If you plan to use battery chemistries other than LiFePO4, note that sealed gel and lead-acid types behave differently in heat; our battery chemistry comparison explains the trade-offs.

Test 4: Aging and Build Quality

Run the lamp continuously for at least 72 hours. Watch for the light stepping down unexpectedly (a sign of a controller overheating or an undersized panel recovering too slowly), flickering at specific dimming levels, and mounting hardware loosening. Inspect welds on the bracket, the finish on the pole-side mounting interface, and the torque on visible screws. A unit that rattles or sheds bolts in week one will not survive a truck route.

Test What it verifies Pass signal
Illuminance Real output vs datasheet Measured lux within a reasonable margin of the documented value at your mounting height
Runtime / autonomy Battery and controller configuration Promised hours held across several nights, including cloudy ones
Water spray Housing sealing (IP65 class) No water traces or condensation after hosing the running unit
72 h aging Thermal design and assembly quality No unexpected dimming, flicker or loose hardware after continuous run

Step 5: Decide and Scale

If the sample passes, confirm the volume configuration in writing before placing the order: model and wattage, battery capacity, panel power, controller settings, packing detail, and the documents you will need at destination. Reputable factories supply packing lists and commercial invoices that match the goods exactly; if you are importing battery-equipped fixtures, ask early about shipping paperwork for lithium batteries, which we cover in a dedicated guide to shipping solar lights with lithium batteries.

If the sample fails a test, send the factory your measurements and photos before dropping them. How a supplier responds to a documented failure is the single best predictor of how they will handle a warranty claim on 300 units. Our checklist for auditing a Chinese lighting factory before your first order pairs well with this step.

How Sampling Fits the Full Buying Process

Sampling is one stage in a longer sequence: request for quotation, quotation comparison, sample validation, then a pilot batch before full volume. Our wholesale buying guide walks through the entire process from RFQ to container loading, including payment terms such as T/T 30% deposit and 70% balance. Reading it alongside this guide gives you the complete picture before your first container.

For buyers who already know their configuration, our all-in-one model A21 and split model A01 product pages list battery capacity, panel power and available options for each variant, so you can request a sample of the exact configuration you plan to order.
